• Payment in full is required at the conclusion of the consultation

• Our clinic uses HICAPS, which allows you to claim private health straight away.

• Unfortunately, we do not accept payment using American Express. All other cards accepted.

1. What is HICAPS?

HICAPS (Health Industry Claims and Payments Service) is a system that allows you to claim eligible health insurance benefits instantly at the time of your appointment.

2. Eligibility and Responsibility

• You must have a valid and active private health insurance policy with extras cover that includes osteopathy.

• You are responsible for checking your level of cover, claim limits, and eligibility before using HICAPS.

• The availability of benefits depends on your individual health fund and policy.

3. Claim Processing

• HICAPS will process your claim immediately after your consultation.

• If your health fund covers part of the service, you will only need to pay the “gap” (the difference between the service fee and the health fund rebate).

• If your claim is declined, or only partially covered, you are responsible for paying the full service fee directly to the clinic.

4. Technical or System Issues

• While we make every effort to ensure smooth HICAPS processing, technical issues or system downtime may occur.

• If HICAPS is unavailable, you must pay the full service fee at the time of your appointment. You can then claim reimbursement from your health fund directly.

5. Privacy and Data Security

• HICAPS transactions are processed securely in accordance with privacy and financial regulations.

• We do not store your health fund card details.

• Your personal and health information is handled in line with our [Privacy Policy](link to your privacy policy).

6. No Guarantee of Rebates

• Rebates are determined solely by your health fund.

• We cannot guarantee the amount of your rebate, nor accept responsibility if your health fund rejects or limits your claim.

7. Changes to These Terms

We may update these Terms of Service at any time. The latest version will always be available at our clinic or on our website.

Cancellation Policy

We understand that schedules can change, and we do our best to be flexible for our patients. To ensure appointment availability for everyone, we kindly ask that you provide adequate notice if you need to reschedule or cancel your appointment.

Same-Day Cancellations
Appointments cancelled on the same day as the scheduled appointment time will incur a 50% cancellation fee of the consultation cost.

Missed Appointments (No Shows)
If you do not attend your appointment and do not notify us in advance, a 100% fee of the consultation cost will be charged.

These policies allow us to respect the time of our practitioners and offer appointment opportunities to other patients who may be waiting for treatment.

If you need to cancel or reschedule your appointment, please contact the clinic as soon as possible.
